International Student Deregistration System

The International Student Deregistration System is a comprehensive management platform that fully digitalizes the deregistration processes within the university, enabling end-to-end management through dynamic workflows. The process begins with the student submitting a deregistration request and is managed through a series of sequential and controlled approval mechanisms involving multiple units such as Financial Affairs, the Library, the ISS Team, and Student Affairs. Each step is tracked centrally through a unified panel. By consolidating previously manual, fragmented, and difficult-to-track processes into a single platform, the system enhances operational efficiency while ensuring full process transparency.

The system provides a powerful admin panel that allows administrators to monitor, filter, and manage all requests in real time. Through the dashboard, users can view the numerical status of active, completed, and returned requests, while the “Pending Requests” and “All Requests” screens enable detailed, process-based tracking. Users can quickly access relevant requests through search and filtering options based on name, student ID, or academic program. Additionally, role- and permission-based access control ensures that each unit can only manage the steps within its area of responsibility.

One of the system’s most critical components is the Workflow Editor, which enables fully dynamic configuration of processes. Administrators can arrange process steps (e.g., Financial Affairs, Library, ISS Team, Student Affairs) using a drag-and-drop interface, define various actions for each step such as manual approval, appointment scheduling, or physical procedures, and establish transition rules between steps. Furthermore, automated email notifications and system messages can be customized for each stage. This ensures that the process is not only digitalized but also adaptable, flexible, and sustainable according to institutional needs.

When examining the workflow, the student initially submits a deregistration request through the system, which is automatically forwarded to the Financial Affairs unit. Based on the outcome of the debt check conducted by Financial Affairs, the process is either halted or forwarded to the next stage. Subsequently, the Library unit performs checks on materials and obligations. Requests that pass this stage are then directed to the ISS Team, where the student schedules an appointment and attends a consultation. Following the consultation, the student may choose to withdraw the request or proceed with the process. If the process continues, the request is forwarded to Student Affairs for final approval, after which the student completes the process through a physical application.

In conclusion, this system transforms a complex, multi-step process involving multiple units—such as student deregistration—into a centralized, traceable, and automation-supported structure. It provides significant operational ease for the university while making processes more understandable and trackable for students. At the same time, it reduces the workload of administrative units, resulting in a faster, more accurate, and more efficient overall workflow across the institution.
