Diploma Delivery Panel

The Diploma Delivery Panel is a comprehensive management system that enables students to manage their diploma application processes end-to-end in a fully digital environment, supported by dynamic workflows. Through this system, students can easily submit their diploma requests via the panel by entering essential information such as student ID, full name, and faculty/department, thereby initiating the process. Submitted requests are directed to a centralized admin panel, where authorized units can monitor, filter, and manage them in real time. The dashboard provides a numerical overview of active, completed, and returned requests, while the “Pending Requests” and “All Requests” screens enable detailed tracking of the entire process.

The system is built on a role- and permission-based architecture. While students are only authorized to create requests, units such as Student Affairs, Financial Affairs, and the Library can view and process requests within their respective areas of responsibility. Approval and rejection mechanisms are defined for each unit, and entering a justification is mandatory in case of rejection. This ensures that all processes are both controlled and fully traceable. Additionally, scenarios such as re-evaluating rejected requests and reintegrating them into the workflow can be efficiently managed thanks to the system’s flexible structure.

With the Workflow Editor feature, processes can be configured dynamically. Administrators can define which unit the process will start with, the sequence of steps, and the actions (such as approval, rejection, or return) to be taken at each stage. For example, a workflow can be designed to proceed as Student Affairs → Financial Affairs → Library and Documentation Department, with notifications and transition rules defined for each step. This flexible architecture allows the system to adapt not only to current requirements but also to potential future process scenarios.

In addition, the Diploma Inquiry Panel enables diploma statuses to be viewed through a centralized database, allowing authorized users to quickly access, monitor, and generate reports. Altogether, the Diploma Delivery Panel transforms traditionally manual and fragmented diploma processes within the university into a faster, more transparent, traceable, and manageable digital workflow, offering a powerful and efficient solution.
